Cleaning Up an Existing QuickBooks File
Files get messy gradually. Several people enter data, accounts multiply, a reconciliation gets skipped and soon the reports are hard to trust. A tune-up is a structured review of your existing file, followed by corrections, so you can work from numbers you believe.
What we look at
- Chart of accounts. Duplicates, unused accounts, vague names and items sitting in the wrong category.
- Bank and credit card reconciliations. Whether they are current and whether old unreconciled items need attention.
- Customer and vendor lists. Duplicates, open balances and unapplied payments or credits.
- Payroll items. Whether wages, taxes and deductions are set up and recorded sensibly.
- Sales tax and other liabilities. Balances that should have been cleared or paid.
- Opening balances and equity. Entries that do not belong or that distort the balance sheet.
- Uncategorized activity. Transactions parked in catch-all accounts.
What you receive
We explain what we found in plain English, correct what we are authorized to correct, and give you a short list of habits that will keep the file in good shape. Where a change affects prior-period figures or tax filings, we raise it with you before making it.
When to consider a tune-up
- You are about to apply for a loan or bring in an investor.
- You are changing bookkeepers or taking the books back in-house.
- Your accountant keeps asking for corrections at tax time.
- You simply suspect the file has drifted.
This works for both QuickBooks Online and Desktop files. After a cleanup, training helps keep it that way, or our bookkeeping services can take over the routine work. See also all QuickBooks services.
Before we begin
We will ask for access to the file in a way that suits you and agree on the scope up front, so you know what will be reviewed and what will be changed.
